Introduction

  • It is smart, sustainable, safe and environmentally friendly to share a link to a document with the other party instead of an e-mail attachment.
  • A separate way of sharing is the joint work in a cloud document (Word, Excel, Powerpoint), but in a separate article.

Basic scenario

  • Find the file in OneDrive, Sharepoint, Teams Files or another O365 tool.
  • Select the check box in front of the file, select Copy link from the menu.
  • In the dialog that opens, select Copy.
  • Paste the received link into your email



Alternatives and special options

  • It is possible to specify more precisely in which accesses to share the file:
    • By default, the accesses are the same as in the selected area: People with existing access (for example, people from the ITO Office).
    • The option People in Tartu University with the link: can be accessed by all people with a University of Tartu user ID to whom the link is available.
    • The Specific people option allows you to create a reference to specific people.

  • It is also possible to share directly via the Share menu option. In this case, it is not necessary to prepare a separate e-mail and the accompanying message must be written in the corresponding information box
