Shared documents can be found in the Shared subsection of OneDrive.
A document can be shared using the Share or Copy link function.
Sharing Access Levels:
People in Tartu University with the link - the document can be seen by all employees of the university.
People with existing access - the document can be seen by employees who have access to the relevant work area.
Specific people - you can specify specific people to whom the document will be shared.
Anyone with the link - this option is blocked for security reasons.
The default option is to share with specific people.
Additional options for sharing:
Allow editing - if there is no check mark, the other party can only read the document and not edit it.
Block download - turning it on allows you to disable the download - the document can only be viewed or edited online.
Access can be seen and managed using the button in the document by selecting Has Access →Manage access.
There are two ways to share files outside the university:
1) Send an invitation to share files to the e-mail address of the selected persons.
This can be done by pressing the Share button and selecting People you specify can edit.
Then you have to enter the email of the desired person(s) and press Send.
The addressee will then receive a file sharing invitation and must enter the verification code sent to their email.
After entering the verification code, they can access the shared file.
2) Ask the university to turn on Anyone with the link sharing with a link that does not require logging in.
By default, Anyone with the link is disabled when sharing with a link.
It can be enabled if desired. For this, the request should be reported to the computer support of the university.
Administrators can then enable it and it will generate a link that no longer requires a login and anyone who knows the link can access the shared document.
Also for Anyone with the link sharing, you can choose to allow editing of the file or not.
