Kuidas sisestada sisekoolituse andmed?

Andmeväljade täitmisel pead täitma kõik tärniga tähistatud kohustuslikud väljad.

Andmeväljade täitmise keeled

Andmeväljade täitmise keel on automaatselt eesti keel ning seda eemaldada ei saa. Lisaks on võimalik valida ka inglise keel. Selle lisamiseks vajuta plussmärgile (joonisel).

Ava rippmenüü (joonisel p 1) ning vali inglise keel (joonisel p 2).

Note

Lisa andmeväljade täitmise keeleks inglise keel kui sisekoolituse õppekeel on midagi muud peale eesti keele (õppekeele valik täida sisu plokis). Siis kuvatakse väljad ingliskeelse info sisestamiseks ning sisekoolitus kuvatakse korrektselt ingliskeelses vaates. Soovitav on täita väljad paralleelselt mõlemas keeles.

Üldinfo

Sisesta koolituse nimetus (joonisel p 1). Haldajaks on vaikimisi sisekoolituse eest vastutav struktuuriüksus kasutaja üksusest lähtuvalt. Kui sul on valikus mitu üksust, siis vali haldaja vajutades soovitud struktuuriüksusele (joonisel p 2) või vajadusel saad seda muuta vajutades plussmärgil (joonisel p 3) ja valides üksuse kiirotsingust või taseme järgi (joonisel p 4).


Lisaks saad valida sisekoolituse sarja (joonisel p 1). Loodavat sisekoolitust on võimalik siduda varasemate (sise)koolitusega ja moodustada nendest sisekoolituste sari. Selleks vali sobiv sari rippmenüüst (joonisel p 2)


Kui üldandmed on sisestatud, vajuta Salvesta (joonisel).

Liigitus

Liigituse all olevad sihtrühm, koolituse liik ja koolituse teema väljad (joonisel p 1) ei ole kohustuslikud, kuid soovi korral võid need täita. Näiteks Sihtrühma väljale võid lisada üldise teksti, keda ootad koolitusele ning koolituse liik ja teema on rippmenüüst valitavad.

Registreerimine on lubatud sihtrühmale väljad (joonisel p 2) on kohustuslikud ning sul tuleb valida konkreetsed sihtrühmad või kui koolitus sobib kõigile, siis valima kõik. Kui oled valikud teinud, siis Salvesta (joonisel p 3).

Aeg ja koht

Sisesta järgmised kohustuslikud andmed:

  • toimumise algus- ja lõppkuupäevad kas trükkides kuupäeva manuaalselt (joonisel p 1) või kasutades kalendri funktsiooni (joonisel p 2)
  • algus- ja lõppajad (joonisel p 3)
  • koolituse kogumaht akadeemilisetes tundides koos kontakõppe ja iseseisva töö tundidega (joonisel p 4),(ühepäevase koolituse puhul arvutab süsteem kellaaegade järgi kontakttundide arvu, mida saad siis kasutada abivahendina koolituse kogumahu määramisel).
  • kooltuse toimumisriik ja -koht (joonisel p 5),(kui õppetöö toimub veebis, siis selle saad määrata järgmises plokis ja toimumiskoha väli eemaldatakse siit plokist)

Soovi korral saad lisada koolituse ajakava, vajutades plussmärgile (joonisel p 6) ning täites avanenud tunni vormi. Iga järgneva tunni sisestamiseks vajuta uuesti plussmärgile.

Tip

Selliselt sisestatud ajakava alusel kuvatakse sisekoolitus kalendrisse ja tunniplaani. Kui ajakava tundidena puudub, siis kuvatakse kalendrisse ja tunniplaani eespool sisestatud üldise alguse ja lõppaja järgi.

Ajakava saab lisada ka vabatekstina väljale "Toimumise ajakava ja lisainfo" (joonisel p 7). Kui kõik andmed on sisestatud, vajuta Salvesta (joonisel p 8).

Õppetöö maht ja vorm

  • vali rippmenüüst õppevorm (joonisel p 1) ja vajadusel lisa õpikeskkonna kirjeldus (joonisel p 2) (näiteks kui on lähiõpe, siis klassiruumi kirjeldus vms, kui on veebi- või põimõpe, siis võib siia lisada veebiaadressi või kui on muu õppevorm, siis tuleks kirjeldada õpikeskkonda täpsemalt).
  • õpikeskkonna detailse info (joonisel p 3) lisamisel on see nähtav ainult registreerunud isikutele (nt veebikoolituste puhul sisenemislink või kood)
  • mahu struktuur akadeemilistes tundides (joonisel p 4) tähendab akadeemiliste tundide arvu, mis läbitakse kontaktõppes. Kui osas Aeg ja koht lahtris Kogumaht tundides on märgitud nt 4 ak/t, siis lahtrisse Kontaktõpe tuleks märkida need tunnid 4-st, mis viiakse läbi kontaktõppena ja koos.

  • Kui koolituse kõik tunnid läbitakse koos ja iseseisev töö puudub, siis lahtritesse Kontaktõpe ja Kogumaht tundides märgitakse sama arv tunde.
  • Kui on valitud lähiõpe, siis kuvatakse lahtri nimetusena Kontaktõpe, kui on valitud veebiõpe, siis Kontaktõpe veebis ning kui põimõpe, siis kuvatakse 2 lahtrit: Kontaktõpe ruumis ja Kontaktõpe veebis.
  • Vaikimisi on kontaktõppe tundide arv 0 ja iseseisva töö tundide arv arvutatakse lahtrite Kogumaht tundides miinus Kontaktõpe jäägina.
  • Kontakttundide määramisel on ühepäevase koolituse puhul abiks arvutus eelmises plokis
  • koolitusel kasutatavad õppematerjalid saad lisada ühekaupa klikkides plussmärgil (joonisel p 5). Iga järgneva õppematerjali lisamiseks vajuta uuesti plussmärgile.
  • kui oled sisestanud kõik vajalikud andmed, vajuta Salvesta nupule (joonisel p 6)

Korraldajad

Vaikimisi on kontaktisikuks sisekoolituse sisestaja. Kontaktisikuid võib juurde lisada vajutades plussmärgile ning kustutada klikkides prügikasti nupule (joonisel p 2). Õppejõu/koolitaja lisamiseks vajuta pluss märgile (joonisel p 3) ning kustutamiseks vajuta prügukasti nupule (ilmub vaid siis, kui koolitaja on sisestatud).

  • Kontaktisiku lisamise eelduseks on, et isikul on kehtiv töösuhe TÜ-ga. Kontaktisikuid saab olla mitu ja neile on ühesugused õigused koolituse haldamisel, aga koolitusega seotud automaatkirjadele (registreeringu kinnitus, tagasiside andmise küsimine) lisatakse esimese kontaktisiku andmed.
  • Koolitaja lisamise eelduseks on, et isiku kohta on kanne ülikooli andmebaasis. Kui on tegemist ülikoolivälise koolitajaga, siis tuleb temaga sõlmida leping, mille alusel saab ühtlasi ka andmebaasi kanda või kui lepingut pole (veel) sõlmitud, siis vajadusel tuleb ta käsitsi andmebaasi kanda. Seda saab teha ÕIS1 hooldusmoodulis vastavate eriõigustega kasutaja.

Rühmi saad sisestada vaid siis, kui koolitaja on lisatud (Rühmad rida muutub aktiivseks).

Vajutades pluss märgile avaneb rühma andmete siestamise aken (joonisel). Täida rühma andmed (nimi, registreerunute piirarv, rühma juhendav õppejõud). Uue rühma lisamiseks vajuta taas pluss märgile.

Pärast andmete sisestamist salvesta.

Sisu

Vaikimisi on õppekeeleks eesti keel. Kui soovid õppekeeleks valida muu keele, siis vajuta pluss märgile ning vali keel (joonisel p 1).

Note

Kui valid muid keeli, siis sisesta koolituse andmed ka inglise keeles. Selleks tuleb valida ülal andmeväljade täitmise keeleks inglise ning sellega lisatakse vormile väljad ingliskeelse sisu jaoks.

Täida lisaväljad (joonisel p 2) ning vajadusel sisesta ühekaupa (iga teema lisamiseks vajuta uuesti plussmärgile) sisekoolitusel käsiteldavad teemad ja märgi nende maht tundides. Iga teema juurde lisa isik(ud), kes on käesoleva teemaploki õppejõud (joonisel p 3). Kui andmed on sisestatud, salvesta.

Teemade juurde saab lisada vaid need isikud, kes on välja toodud Korraldajad plokis.

Hinnainfo

Sisesta koolituse hinnainfo. Kui koolitus on tasuta, siis Hind käibemaksuta lahtrisse ei ole vaja midagi lisada. Kui koolitus on tasuline, kirjuta lahtrisse koolituse hind käibemaksuta ning vajadusel aktiveeri nupp Kas lisandub käibemaks?.

Hinnainfo lahtrisse tuleb lisada hinnaga seonduv info nagu näiteks "Osalustasuta sisekoolitus", "Koolitust finantseeritakse kesksetest koolitussummadest" vms. Kui andmed on sisestatud, siis salvesta.

 

Note

Lõplik koolituse maksumus (koos käibemaksuga) kuvatakse lõpus üldvaates.

Registreerumise info

Täida kõik vajalikud registreerumise info väljad. Kohustuslik on lisada miinimumarv. Kui koolitusel on rühmad, siis osalejate piirarv on rühmade piirarvude summa ja seda siin muuta ei saa.

Kui registreerumise tähtaeg ei klapi koolituse toimumisaja või registreerimise algusajaga, antakse sellest automaatselt teada ja ilmub rida teatega (joonisel).

 

Kui registreerimise järjekord on lubatud, aktiveeri raadionupp (joonisel).

Kui koolituse kontaktisik soovib registreerujatest teateid e-posti aadressile, siis aktiveeri raadionupp (joonisel).

Registreerimise info lahtrisse võid lisada muu info, mida pead vajalikuks kõigele muule veel lisaks teada anda ja mida kuskile mujale ei ole sisestada.

Kinnituskirja sisu lahter täida siis, kui soovid ise koostada kinnituskirja teksti, mis saadetakse osalejale registreerumisel. Kui väli jääb tühjaks, saab registreeruja automaatse kinnituskirja koolituse andmetega. Kiri saadetakse õppija profiilil olevatele e-posti aadressidele ja ÕISi teadete postkasti.

Meeldetuletuskirja saatmise aeg ja sisu täida siis, kui soovid seadistada automaatset meeldetuletuskirja. See saadetakse samuti e-posti aadressidele ja ÕISi teadete postkasti.

Kui kõik andmed koolituse kohta on täidetud, siis Salvesta.

Kui sa ei ole kindel, kas mõni plokk sai salvestatud, siis enne koolituse andmete vaatest lahkumist vajuta Salvesta kõik (joonisel).

Note

Salvestada saad vaid siis, kui kõik kohustuslikud väljad on täidetud. Kui ploki number (joonisel p 1) näitab punast, siis see tähendab, et mingi kohustuslik väli selles plokis on täitmata. Kui ploki number on roheline (joonisel p 2), siis see tähendab, et kõik kohustuslikud väljad on selles plokis täidetud.

Pärast andmete sisestamist saad üldvaatesse minna vajutades lehe all paremal nurgas olevale nupule Üldvaade (joonisel).

Koolitus on nüüd Loomisel olekus (joonisel).

Koolitusega seotud tegevusi loomisel olekus koolitusel näed lehe üleval (pliiatsi nupust) või all (joonisel).



Kuidas luua koolitusele tagasiside küsimustikku?

Warning

Küsimustiku loomiseks peavad SK toimumise kuupäevad olema sisestatud.

Selleks, et luua koolitusele tagasiside küsimustik, vajuta koolituse üldvaates kas pliiatsi nupule (joonisel p 1) ning Halda tagasisidet (joonisel p 2) või lehe all servas vajutades nupule Halda tagasisidet (joonisel p 3).

Küsimustikule lisatakse automaatselt selle avamise (sisekoolituse toimumise lõpp) ja sulgemise aeg (6 kuud avamisest) (joonise p 1). Küsimusi saad teha endale nähtavaks või mitte nähtavaks märkides või mitte märkides märkeruudu (joonisel p 2) ning samuti saad valida, mis küsimusi tagasiside ankeedile panna, klikkides konkreetse küsimuse peal (joonisel p 3). Kui valikud on tehtud, Salvesta (joonisel p 4).

Kuidas avalikustada loodud koolitust?

Kui oled kõik vajalikud andmed koolituse kohta sisestanud, saad koolitust teistele kasutajatele nähtavaks teha ning nendele registreerumise avada koolitust avalikustades.

Warning

Avalikustamisel genereeritakse koolitusele kood ja kui sa polnud tagasisidet veel lisanud, siis lisatakse automaatselt tagasiside küsimustik (kõigi küsimustega). Küsimuste valikut saad muuta niikaua, kuni koolitus ei ole avalikustatud. (Vt. tagasiside haldamise juhendit).

Koolituse avalikustamiseks vajuta koolituse üldvaates pliiatsi nupule (joonisel p 1) ning vali Avalikusta (joonisel p 2).

Kuidas siduda koolitus Moodle'iga?

Moodle'iga sidumiseks peab koolitus olema avalikustatud olekus.

Selleks, et siduda koolitus Moodle'iga, vajuta koolituse vaates pliiatsi nupule (joonisel p 1) ning vali Moodle'i seosed (joonisel p 3) või koolituse vaates all servas vali Moodle'i seosed (joonisel p 3).

Kui Moodle'isse ei ole veel sellenimelist kursust loodud, annab süsteem sellest teada (joonisel p 1). Kursust saad Moodle'isse luua vajutades nupule Loo kursus:xxxx.SK.xxxxx (joonisel p 2)

How do I create/enter a new internal training?

From the SIS2 dashboard, open the General menu on the left (figure p 1) and click on Internal trainings (figure p 2).

How to enter internal training data?

When filling out the data fields, you must complete all mandatory fields marked with an asterisk.

Languages ​​for filling in data fields

The language used for filling in the data fields is automatically Estonian. You can also select English. To add it, click on the plus sign (see figure).

Note

Add English as the language for filling in data fields if the language of instruction for the internal training is something other than Estonian (choose the language of instruction in the  content block). Then the fields for entering information in English will be displayed and the internal training will be displayed correctly in the English view. It is recommended to fill in the fields in both languages ​​in parallel.

General info

Enter the training title (figure p 1). The default administrator is the structural unit responsible for internal training based on the user's unit. If you have multiple structural units to choose from, you must select an administrator from these structural units by clicking on the desired unit  (figure p 2) or if necessary, you can change structural unit by clicking on the plus sign (figure p 3) and selecting the unit from the quick search or by level (figure p 4).

You can also select the internal training series (figure p 1). The internal training being created can be linked to previous (internal) training and form a series of internal trainings from them. To do this, select the appropriate series from the drop-down menu (figure p 2).

Once the general information has been entered, click Save (see figure).

Classification

The target group, training type and topic of the training fields (figure p 1) under the classification are not mandatory, but you can fill them in if you wish. For example, in the target group field, you can add a general text about who you are expecting to attend the training, and the training type and topic of the training can be selected from the drop-down menu.

The Registration is allowed for fields (figure p 2) are mandatory and you must select specific target groups or, if the training is suitable for everyone, select all. Once you have made your selections, click Save (figure p 3).

Time and place

Enter the following mandatory data:

  • beginningand end dates of the event, either by typing the date manually (figure p 1) or using the calendar function (figure p 2)
  • start and end times (figure p 3)
  • total volume of the training in academic hours, including contact learning and independent work hours (figure p 4),(for one-day training, the system calculates the number of contact hours based on the time of day, which you can then use as a tool to determine the total training volume).
  • country and location of the training (figure p 5),(if the course is taking place online, you can specify this in the next section and the location field will be removed from this section)

If you wish, you can add a training schedule by clicking on the plus sign (figure p 6) and filling out the lesson form that opens. To enter each subsequent lesson, click on the plus sign again.

Tip

The internal training will be displayed in the calendar and timetable based on the schedule entered in this way. If the schedule is not in lessons, it will be displayed in the calendar and timetable based on the general start and end times entered above.

The schedule can also be added as free text in the "Training schedule and additional information" field (figure p 7). When all data has been entered, click Save (figure p 8).

Volume and form of studies

  • select the from of study from the drop-down menu (figure p 1) and, if necessary, add a learning environment description (figure p 2) (for example, if it is face-to-face learning, then a description of the classroom, etc., if it is online or blended learning, then the web address can be added here, or if it is another learning form, then the learning environment should be described in more detail).
  • when adding study environment info (figure p 3), it is visible only to registered earners (e.g., an entry link or code for online training)
  • the volume structure in academic hours (figure) means the number of academic hours that are completed in contact learning. If, for example, 4 ECTS credits are indicated in the Time and place section in the Total volume in hours box, then those hours out of 4 that are conducted as contact learning and together should be indicated in the Contact learning box.

  • If all the hours of the training are completed together and there is no independent work, the same number of hours is entered in the Face-to-face and Classroom work boxes.
  • If face-to-face learning is selected, the name of the box is Classroom work, if online learning is selected, then Web learning, and if blended learning is selected, then 2 boxes are displayed: Classroom work and Web learning.
  • By default, the number of hours of contact learning is 0 and the number of hours of independent work is calculated as the remainder of the Total Hours boxes minus Contact Learning.
  • When determining contact hours for one-day training, the calculation in the previous section is helpful.
  • you can add the study materials used in the training one by one by clicking on the plus sign (figure p 5). To add each subsequent study material, click on the plus sign again.
  • once you have entered all the necessary data, click on the Save button (figure p 6)

By default, the person who enters the training, is added as a contact person (figure p 1). To add another contact person, click on the plus sign (figure p 2) and search for the person, you wish to add as a contact person. To delete the contact person, click on the trash can icon (figure p 3).

Warning
  • The prerequisite for adding a contact person is that the person has a valid employment relationship with the University of Tartu. There can be several contact persons and they have the same rights in managing the training, but the data of the first contact person is added to automatic emails related to the training (registration confirmation, feedback request).
  • The prerequisite for adding a lecturer is that there is an entry for the person in the university database. If it is an external trainer, then a contract must be concluded with the person, on the basis of which he/she can also be entered into the database, or if the contract has not (yet) been concluded, then he/she must be entered into the database manually, if necessary. This can be done in the SIS1 maintenance module by a user with the corresponding special rights.

To add a lecturer, click on the plus sign and search for the lecturer (figure p 4). To add a study group, the lecturer must be entered (or the study group option is not active).

Once the lecturer is enetered and you wish to add a study group, click on the plus sign and fill in the study group details (see figure).

After details have been entered, click Save.

Content

The default language of instruction is Estonian. If you would like to select another language as the language of instruction, click on the plus sign and select the language (figure p 1). 

Note

If you choose other languages, enter the training data in English as well. To do this, select English as the languages for data field completion above, which will add fields for English content to the form.

Fill in the additional fields (figure p 2) and, if necessary, enter the topics to be covered in the internal training one by one (to add each topic, click on the plus sign again) and indicate their volume in hours. For each topic, add the person(s) who are the lecturers of this topic (figure p 3).

Only those individuals who are listed in the Arranged by section can be added to topics.

Price info

Enter the price information for the training. If the training is free, then you do not need to add anything to the Price excl. VAT box. If the training is paid, enter the price of the training in the box excluding VAT and, if necessary, activate the button Is VAT included?.

The price information box must include information related to the price, such as "Internal training without participation fee", "Training financed from central training amounts", etc. Once data has been entered, click Save.

Note

The final training cost (including VAT) will be displayed in the overview at the end.

Registration info

Fill in all the mandatory fields in registration info section. It is mandatory to add a minimum number of participants. If the training has study groups, the maximum number of participants is the sum of the group limits and cannot be changed here.

If the deadline for registration does not coincide with the start of the training or the start of the registration, you will be automatically notified and a line will appear with a message (see figure).

If the registration waiting list is allowed, activate the radio button (see figure).

If the internal training contact person wants to receive notifications about registrations to their email address, activate the radio button (see figure).

In the Registration information box, you can add any other information that you feel is necessary to provide in addition to everything else and that cannot be included anywhere else.

Fill in the confirmation letter content field if you want to compose the text of the confirmation letter that will be sent to the participant upon registration. If the field is left blank, the registrant will receive an automatic confirmation letter with the training details. The letter will be sent to the email addresses in the learner's profile and to the SIS mailbox.

Fill in the reminder letter with time and content if you want to set up an automatic reminder letter. It will also be sent to the email addresses and to the SIS mailbox.

When all the information about the course is complete, click Save.

If you are not sure whether any block was saved, click Save all (see figure) before leaving the training information view.

Note

You can only save if all mandatory fields are filled in. If the section number (figure p 1) is red, it means that a mandatory field in this section is not filled in. If the section number is green (figure p 2), it means that all mandatory fields in this section are filled in.

After completeing the date sections, you can open the General view by clicking on the General view button at the bottom of the page (see figure).

How to create a feedback questionnaire for internal training?

Warning

To create a questionnaire, the dates of the internal training must be entered.

To create a feedback questionnaire for an internal training, in the training overview, click either the pencil button (figure p 1) and Edit feedback (figure p 2) or click the Edit feedback button at the bottom of the page (figure p 3).

The questionnaire will automatically include its opening (end of internal training) and closing time (6 months from opening) (figure p 1). You can make questions visible or invisible to yourself by checking or unchecking the checkbox (figure p 2) and you can also choose which questions to include in the feedback questionnaire by clicking on a specific question (figure p 3). Once the selections are made, Save (figure p 4).

  • Questions 1.8, 1.8.1, 1.9, and 1.10 are mandatory questions and cannot be removed.
  • Selected questions are displayed in deep blue, unselected questions in gray.

How to publish internal training that has been created?

Once you have entered all the necessary data about the training, you can make the internal training visible to other users and open registration to them by publishing the training.

Warning

When you publish the internal training, a code will be generated for the training and if you have not added feedback questionnaire yet, it (with all questions) will be automatically added. You can change the selection of questions as long as the training has not been published. (See the feedback management guide).

To publish the training, click on the pencil button in the training overview (figure p 1) and select Publish (figure p 2).

How to link the internal training to Moodle?

Warning

To link the interenal training to Moodle, it must be in the published state.

To link the internal training to Moodle, click the pencil button in the training view (figure p 1) and select Moodle connections (figure p 2) or select Moodle connections at the bottom of the internal training view (figure p 3).

If a training with that name has not yet been created in Moodle, the system will inform you of this (figure p 1). You can create a course in Moodle by clicking the Create new course: xxxx.SK.xxxxx button (figure p 2).

Once the Moodle course has been created, you can refresh data by clicking Refresh data in Moodle button (figure p 1) and add learners to Moodle course by activating Automatic students update button (figure p 2)(this triggers a nightly transfer of learners to the Moodle course, automatically updating the data according to the registration list) and to update learners in Moodle course immediately, click on Refresh students in Moodle now button (figure p 3).

How to edit published internal training details?

In the internal training overview, click the pencil button (figure p 1), choose More actions (figure p 2) and select Change (figure p 3).

You can also change it via My trainings (p 1 in the figure) and by clicking the Change button (p 2 in the figure).

When you need to edit the details of the published internal training, the system will ask if you are sure you want to change the details of the confirmed training, select "Yes" (see figure).

  • Please note that there may already be learners registered for the published training, and if you change any important information, be sure to inform the participants.
  • Once the training has ended, the dates cannot be changed because the questionnaire is open for responses.

How do I create/enter a new internal training?

From the SIS2 dashboard, open the General menu on the left (figure p 1) and click on Internal trainings (figure p 2).

Languages ​​for filling in data fields

The language used for filling in the data fields is automatically Estonian. You can also select English. To add it, click on the plus sign (see figure).

Add English as the language for filling in data fields if the language of instruction for the internal training is something other than Estonian (choose the language of instruction in the  content block). Then the fields for entering information in English will be displayed and the internal training will be displayed correctly in the English view. It is recommended to fill in the fields in both languages ​​in parallel.

General info

Enter the training title (figure p 1). The default administrator is the structural unit responsible for internal training based on the user's unit. If you have multiple structural units to choose from, you must select an administrator from these structural units by clicking on the desired unit  (figure p 2) or if necessary, you can change structural unit by clicking on the plus sign (figure p 3) and selecting the unit from the quick search or by level (figure p 4).

You can also select the internal training series (figure p 1). The internal training being created can be linked to previous (internal) training and form a series of internal trainings from them. To do this, select the appropriate series from the drop-down menu (figure p 2).

Classification

The target group, training type and topic of the training fields (figure p 1) under the classification are not mandatory, but you can fill them in if you wish. For example, in the target group field, you can add a general text about who you are expecting to attend the training, and the training type and topic of the training can be selected from the drop-down menu.

The Registration is allowed for fields (figure p 2) are mandatory and you must select specific target groups or, if the training is suitable for everyone, select all. Once you have made your selections, click Save (figure p 3).

Time and place

Enter the following mandatory data:

  • beginningand end dates of the event, either by typing the date manually (figure p 1) or using the calendar function (figure p 2)
  • start and end times (figure p 3)
  • total volume of the training in academic hours, including contact learning and independent work hours (figure p 4),(for one-day training, the system calculates the number of contact hours based on the time of day, which you can then use as a tool to determine the total training volume).
  • country and location of the training (figure p 5),(if the course is taking place online, you can specify this in the next section and the location field will be removed from this section)

If you wish, you can add a training schedule by clicking on the plus sign (figure p 6) and filling out the lesson form that opens. To enter each subsequent lesson, click on the plus sign again.

Tip

The internal training will be displayed in the calendar and timetable based on the schedule entered in this way. If the schedule is not in lessons, it will be displayed in the calendar and timetable based on the general start and end times entered above.

The schedule can also be added as free text in the "Training schedule and additional information" field (figure p 7). When all data has been entered, click Save (figure p 8).

Volume and form of studies

  • select the from of study from the drop-down menu (figure p 1) and, if necessary, add a learning environment description (figure p 2) (for example, if it is face-to-face learning, then a description of the classroom, etc., if it is online or blended learning, then the web address can be added here, or if it is another learning form, then the learning environment should be described in more detail).
  • when adding study environment info (figure p 3), it is visible only to registered earners (e.g., an entry link or code for online training)
  • the volume structure in academic hours (figure) means the number of academic hours that are completed in contact learning. If, for example, 4 ECTS credits are indicated in the Time and place section in the Total volume in hours box, then those hours out of 4 that are conducted as contact learning and together should be indicated in the Contact learning box.

  • If all the hours of the training are completed together and there is no independent work, the same number of hours is entered in the Face-to-face and Classroom work boxes.
  • If face-to-face learning is selected, the name of the box is Classroom work, if online learning is selected, then Web learning, and if blended learning is selected, then 2 boxes are displayed: Classroom work and Web learning.
  • By default, the number of hours of contact learning is 0 and the number of hours of independent work is calculated as the remainder of the Total Hours boxes minus Contact Learning.
  • When determining contact hours for one-day training, the calculation in the previous section is helpful.
  • you can add the study materials used in the training one by one by clicking on the plus sign (figure p 5). To add each subsequent study material, click on the plus sign again.
  • once you have entered all the necessary data, click on the Save button (figure p 6)

By default, the person who enters the training, is added as a contact person (figure p 1). To add another contact person, click on the plus sign (figure p 2) and search for the person, you wish to add as a contact person. To delete the contact person, click on the trash can icon (figure p 3).

Warning
  • The prerequisite for adding a contact person is that the person has a valid employment relationship with the University of Tartu. There can be several contact persons and they have the same rights in managing the training, but the data of the first contact person is added to automatic emails related to the training (registration confirmation, feedback request).
  • The prerequisite for adding a lecturer is that there is an entry for the person in the university database. If it is an external trainer, then a contract must be concluded with the person, on the basis of which he/she can also be entered into the database, or if the contract has not (yet) been concluded, then he/she must be entered into the database manually, if necessary. This can be done in the SIS1 maintenance module by a user with the corresponding special rights.

To add a lecturer, click on the plus sign and search for the lecturer (figure p 4). To add a study group, the lecturer must be entered (or the study group option is not active).

Once the lecturer is enetered and you wish to add a study group, click on the plus sign and fill in the study group details (see figure).

After details have been entered, click Save.

Content

The default language of instruction is Estonian. If you would like to select another language as the language of instruction, click on the plus sign and select the language (figure p 1). 

Note

If you choose other languages, enter the training data in English as well. To do this, select English as the languages for data field completion above, which will add fields for English content to the form.

Fill in the additional fields (figure p 2) and, if necessary, enter the topics to be covered in the internal training one by one (to add each topic, click on the plus sign again) and indicate their volume in hours. For each topic, add the person(s) who are the lecturers of this topic (figure p 3).

Only those individuals who are listed in the Arranged by section can be added to topics.

Price info

Enter the price information for the training. If the training is free, then you do not need to add anything to the Price excl. VAT box. If the training is paid, enter the price of the training in the box excluding VAT and, if necessary, activate the button Is VAT included?.

The price information box must include information related to the price, such as "Internal training without participation fee", "Training financed from central training amounts", etc. Once data has been entered, click Save.

The final training cost (including VAT) will be displayed in the overview at the end.

Registration info

Fill in all the mandatory fields in registration info section. It is mandatory to add a minimum number of participants. If the training has study groups, the maximum number of participants is the sum of the group limits and cannot be changed here.

If the deadline for registration does not coincide with the start of the training or the start of the registration, you will be automatically notified and a line will appear with a message (see figure).

If the registration waiting list is allowed, activate the radio button (see figure).

If the internal training contact person wants to receive notifications about registrations to their email address, activate the radio button (see figure).

In the Registration information box, you can add any other information that you feel is necessary to provide in addition to everything else and that cannot be included anywhere else.

Fill in the confirmation letter content field if you want to compose the text of the confirmation letter that will be sent to the participant upon registration. If the field is left blank, the registrant will receive an automatic confirmation letter with the training details. The letter will be sent to the email addresses in the learner's profile and to the SIS mailbox.

Fill in the reminder letter with time and content if you want to set up an automatic reminder letter. It will also be sent to the email addresses and to the SIS mailbox.

When all the information about the course is complete, click Save.

If you are not sure whether any block was saved, click Save all (see figure) before leaving the training information view.

You can only save if all mandatory fields are filled in. If the section number (figure p 1) is red, it means that a mandatory field in this section is not filled in. If the section number is green (figure p 2), it means that all mandatory fields in this section are filled in.
