In this guide, you will find answers to frequently asked questions about the Tartu University e-mail address.

  • An e-mail account and e-mail address have been created for all students of the University of Tartu.
  • The email address is in the format name.surname@ut.ee and it can be accessed both by using email applications (Outlook, Thunderbird) as well as the web interface http://mail365.ut.ee or http://kiri.ut.ee.
  • The technical solution of the email account uses the services of Microsoft Exchange Online and aims to ensure that all study-related information reaches all students smoothly and that all students can use the full functionality of the university’s information systems, including Teams and SharePoint.
  • The username and password of University of Tartu must be used for e-mail access, username must be entered in the form user@ut.ee (for example, user Tuuli Tudeng enters tuuli12@ut.ee).
  • You have the right to use this email account while studying at the university.

FAQ

  • University members have the right to use the university's e-mail address.
  • The members of the University are listed in the Statutes of the University and include the members of the University Council, the Rector, students, employees, doctoral residents, professors emeritus, associate professors emeritus, honorary doctors and honorary members
  • E-mail addresses are automatically created for employees, students, international students, external students, visiting students and international visiting students.
  • Other persons entitled to the account due to membership include members of the University Council, the Rector, doctoral residents, professors emeritus, associate professors emeritus, honorary doctors and honorary members.
  • If a student has several names or surnames (or both), the email address is created using all of them. The names are separated by a full stop.
  • E.g. name1.name2.name3.surname1.surname2@ut.ee
  • A student can apply for a shorter email address by contacting the IT helpdesk. All such requests are considered case by case.
  • The email addresses are created in the Microsoft Office 365 environment and allow the students to use the full range of Microsoft Office 365 solutions, including Teams and SharePoint.
  • The created email address forms an integral part of the university’s information system
  • For instance, the account will allow using collaboration calendars, add students to Office 365 groups and enable students to receive different notifications sent by the information system
  • In justified cases (and if the person has been identified), the inbox can be transferred in the corresponding Exchange archive format (*.pst)
  • The email archive is retained for two years
  • You can access the UT email account while studying at the university. Access will be removed after your last semester.

The user accounts are valid until the end of a study or a work relationship with the University of Tartu.

A student's user account is provided for one year. The account's period of validity will be extended at the beginning of every academic year, if it is noted in the Study Information System (ÕIS), that he or she is continuing his or her studies.

When the student is no longer studying in the university, his or her user account will be suspended.

NB! When a student is no longer studying at the University of Tartu, his or her account will no longer have access to the University of Tartu information systems (i.e Study Information System or ÕIS).

The information about continuing or discontinuing studies is taken from the Study Information Systems (ÕIS). In case you have received an e-mail stating, that your user account will be closed, we suggest you check your status from the Study Information System (ÕIS). If the information there states, that you are no longer studying, please contact the dean's office at your faculty. When the dean's office has corrected the information, please contact the Information technology office (Uppsala 10, first floor, left side of the building), where your account will be reopened.

The user account for a member of staff is valid until the employment contract expires or is terminated.

The user account for a guest is valid until end of guest status relationship.

When your work or study relationship has expired, the user account can be retained through a guest status.

To apply for a guest status, you need to contact the person in charge of the department, that you are still working with. The head of said department will need to fill out our guest status form on which will be sent to the University of Tartu Helpdesk. The request must include the end date of the guest status relationship. 

The guest status can be provided for up to 2 years. After that time passes, you will need to go through the described process again.
