Google Workspace for Education on Tartu Ülikoolis juurutamises. See tähendab, et need teenused on kasutatavad ainult osaliselt ja ligipääs on piiratud. Samuti on käesolevad juhendid pidevalt täienemas ning muutumas.


Ülikooli Google Workspace kasutatavad teenused


Kuidas UT kontoga sisse logida

  1. Tuleb minna soovitud teenuse leheküljele.
  2. Kui ollakse juba isikliku kontoga sisse logitud, siis avaneb selle kontoga seotud lehekülg, vastasel juhul küsitakse sisselogimist.
    1. Kuigi võimalik on ka ühes brauseris mitme Google kontoga korraga sees olla (valides enda konto ikooni alt "Teise konto lisamine"), siis sellisel juhul peab väga tähelepanelik olema, millise kontoga opereeritakse. Siin oleks lahenduseks näiteks Chrome’i sisse logida erinevate kasutajatega, kasutada erinevaid brausereid – üks konto näiteks Chrome’is, teine Firefoxis või kasutada Incognito, InPrivate vms režiimi.
  3. Google sisselogimise lehel tuleb sisestada enda meiliaadress kujul eesnimi.perenimi@ut.ee
  4. Seejärel suunatakse kasutaja https://auth.ut.ee lehele, kuhu tuleb sisestada enda UT kasutajanimi ja parool
  5. Pärast edukat autentimist suunatakse kasutaja sisselogituna Google teenuse lehele

Kui UT meiliaadress on juba varasemalt Google kontoga seotud

Siin on 2 võimalikku lahenduskäiku:

  1. Kasutaja soovib konto üle tuua UT Google Workspace alla ning talle saadetakse meiliga kutse
    1. Meilis tuleb vajutada lingile Transfer my account (kutsest loobumiseks Decline request)
    2. Kasutaja kinnitab, et on Google Workspace tingimustega nõus
    3. Konto on liidetud Google Workspace keskkonnaga
      1. Rakenduvad kõik kesksed reeglid ning piirangud
  2. Kasutaja ei soovi olemasolevat kontot liita Google Workspace keskkonnaga (kas eelnevas punktis kirjeldatud protsessis on valitud Decline request või mingil muul viisil kokku lepitud)
    1. Administraator tekitab Workspace keskkonda uue tühja konto kujul eesnimi.perenimi@ut.ee
    2. Kasutaja olemasoleva konto meiliaadress muutub kujule eesnimi.perenimi%ut.ee@gtempaccount.com
    3. Kasutaja logib selle ajutise kasutajanimega Google kontole sisse
      1. Parool jääb samaks
      2. Kui kasutaja on juba sisse logitud, tuleb teha sign out
    4. Iga kord sisse logides küsitakse kasutajalt uut meiliaadressi
      1. Peab olema uus/mittekasutuses ning mitte ut.ee domeen
    5. Kui aadress on edukalt uuendatud, on protsess lõppenud
      1. Pärast aadressi muutmist tuleks ka kõikides teistes seadmetes, kuhu ollakse sisse loginud teha sign out ning uuesti sisse logimine (Android seadmetes Remove Account ja seejärel konto uuesti siduda)
      2. Kõik muud konto andmed, failid ja seaded jäävad samaks - muutub ainult meiliaadress/kasutajanimi


Google Workspace for Education is not yet fully implemented in University of Tartu. This means that the services are available only partially and access is restricted. Furthermore, current manuals are continously being updated and subjects to change.


Google Workspace services available in UT


How to log in with UT account

  1. Go to the webpage of a service you want to use.
  2. If you are already signed in, the webpage associated with the current account will be opened, othwerwise you will be asked to sign in.
    1. Although it is possible to be signed in with multiple accounts at the same time in the same browser (by selecting Add another account under your account icon), one must be mindful which account they are operating under. A solution here would be to log in to Chrome, therefore separating accounts, use different browsers for different accounts or open browser in Incognito, InPrivate etc. mode.
  3. In the Google sign in page you need to enter your email address as follows: name.surname@ut.ee
  4. After which you will be redirected to https://auth.ut.ee webpage where you need to enter your UT username and password
  5. After succesful authentication you will be redirected to the Google service webpage.

If you already have a Google account associated with your UT email address

There are 2 possible solutions:

  1. User wishes to transfer their account to UT Google Workspace and is sent an invitation email to join

    1. In the email user can choose to join by pressing Transfer my account (to decline press Decline request)
    2. User then confirms agreeing to the terms of Google Workspace
    3. Account is transfered to Google Workspace
      1. All the rules and restrictions are applied
  2. User does not wish to transfer their accout to Google Workspace (either by choosing Decline request in the previous section or by any other means)
    1. The administrator creates a new blank account in the Workspace environment in the form of name.surname@ut.ee
    2. User's account name is changed to name.surname%ut.ee@gtempaccount.com
    3. User logs into their account using this temporary credential
      1. The password remains the same
      2. If the user is already logged in they must sign out first
    4. Every time the user logs in, they are asked to change their email address
      1. Must be new/unused and not use ut.ee domain
    5. After the address has been successfully changed, the process is completed
      1. After changing the address one should sign out from their account on all of their devices and then login again (on Android devices, the account must temporarily be removed from the device and then added again)
      2. All the other data, settings and files on the account remain as they were - the only thing that is changed is the email address / username
