Introduction

Scheduling Assistant is a tool built into Microsoft Outlook that helps you schedule meetings based on attendee calendars and meeting room reservations.

Scheduling Assistant (Windows desktop application)

  1. Open Outlook desktop application.
  2. Open Calendar from the top left corner of the screen.
  3. Select New Appointment.

  4. Open the Scheduling Assistant tab in the window that appears.

  5. Add the people you want to schedule a meeting with in the Required Attendee box.

  6. Add the meeting room where you want to hold the meeting to the field Resource (Room or Equipment).

  7. A view opens showing the individual calendars of all required participants and the meeting room's calendar.
    Choose a time period that suits everyone, specify the duration of the meeting and press Send.

Scheduling Assistant (Outlook online)

  1. Open Outlook online (https://kiri.ut.ee/)

  2. Open Calendar from the top left corner of the screen.
  3. Select New event.

  4. Open the Scheduling Assistant tab in the window that opens.

  5. In the Required attendees box, add the people you want to schedule a meeting with.

  6. In the Rooms box, add the meeting room where you want to hold the meeting.

  7. A view opens showing the individual calendars of all required participants and the meeting room's calendar.
    Choose a time period that suits everyone and specify the duration of the meeting.

  8. Go back to the Event tab, enter the invitation details (title, description, etc.) and press the Send button.
