In this guide, you will find instructions about creating a time scheduling poll in Nextcloud Polls.

Nextcloud Polls is a poll creation plugin for the Nextcloud platform, similar to Doodle. With the app, you can engage external partners by creating custom polls, setting privacy settings, managing response options, and exporting results to various formats, as well as automating reminders and monitoring the poll status in real time.

  • Custom poll creation:
    • Make your poll confidential by hiding the results until you decide to publish them
    • Blur the names of other participants for privacy
    • Set an automatic expiration date for the poll
    • Allow participants to add new options as they respond
    • Restrict voting options per option or per user as needed
    • Invite anyone you want to participate in the poll
    • Export poll data to various spreadsheet formats or as an HTML file
    • Automate sending reminders to invited participants.
  • Add and manage comments:
    • Confirm selections after the survey is complete
    • Subscribe to notifications to stay up to date on survey status
    • Get alerts about potential calendar conflicts around date selection

Creating a poll

  1. Open Polls by using the link https://owncloud.ut.ee/owncloud/apps/polls/ or select it from the Nextcloud app (check screenshot).
  2. To create a poll, click the New poll button.
  3. In the window that opens, enter the poll title (can be changed later), select Date poll as poll type and click the Apply button.
  4. The survey details settings window opens, consisting of several blocks:
    1. Configuration:
       
      Here you can specify the survey title, description, administration, closing, displaying responses, and archiving.
      1. Title: Enter the survey title (e.g. "Excursion X")
      2. Description: enter a short description (e.g. "We are planning a trip to X. Please tick the options that apply to you. We expect responses by February 21st.")
      3. Poll configurations: here you can configure poll management
        1. Allow comments: add a checkmark if you want respondents to be able to add comments
        2. Allow "Maybe" vote: add a checkmark if you want respondents to be able to answer "maybe"
        3. Delete vote when switched to "No": add a checkmark if you want the vote to be deleted if the answer is "No"
        4. Anonymous poll: add a checkmark if you want the survey to be anonymous
        5. Limit "Yes" votes per participant: add a checkmark if you want to limit the number of "Yes" answers per respondent
        6. Limit "Yes" votes per option: add a checkmark if you want to limit the number of "Yes" answers per question
      4. Poll closing status:
        1. Close poll: click the button if you want to close the survey
        2. Poll closing date: add a checkmark if you want to specify the closing time of the survey
        3. Use Autoreminder: add a checkmark if you want to send an automatic reminder to the email addresses with whom you have directly shared the survey
      5. Result display: 
        1. Always show results: add a checkmark if you want the survey answers to always be visible
        2. Hide results until poll is closed: add a checkmark if you want the survey results to be published only after the survey is completed
        3. Never show results: add a checkmark if you don't want the results to be shown
      6. Archive poll: click the button if you want to archive the survey
    2. Options:

      Here you can choose the dates and times you want to offer.

      1. To suggest a date, click the Add a date button.
      2. To provide an exact time, select Add time.
      3. After adding dates (and optionally times), a list of available options will appear.

      There are different options for sharing the survey:
      1. Copy link to clipboard: click the button if you want to copy the survey link
      2. Show QR code: click the button if you want to generate a QR code and share it
      3. Options for registration dialog: here you can choose whether to ask for an email address
        1. Email address is optional: select this if you want adding an email address to be optional (not required)
        2. Email address is mandatory: select this if you want to make adding an email address mandatory
        3. Do not ask for an email address: select this if you don't want to be asked for your email address at all
      4. Lock share: click here if you want to lock the ability to share the survey
      5. Delete share: click here if you want to delete the sharing methods that you have created

Survey respondent view

  1. When opening a link or QR code, the following window will be displayed to the user. To answer, click on the Register button.
  2. Enter your name in the box.
  3. Choose suitable dates (and times).
    The selected answers are saved automatically (you do not need to confirm them separately by pressing any button). It is enough if the corresponding icon appears:
    1. Roheline: choose if the time that suits you
    2. Kollane: choose this time if it might suit you
    3. Punane: choose this time if it doesn't suit you at all
