In this guide, you will find instructions for automatically creating meeting summaries using transcription in Teams.
Transcript is not available when starting a video call directly from a chat conversation.
Automatic summarization of the meeting provides an opportunity to document the content of the meeting. To make a summary, you can use the transcription function of Teams, which records the speeches of all people who participated in the meeting and automatically creates a summary based on it, which you can share with the participants.
The UT IT department recommends making sure participants have good quality microphones, are in different rooms (or far enough away from each other), and that during the meeting, participants are speaking separately, not at the same time, to get the most out of the functionality.
Activating summarization
NB! When the meeting is being recorded, summarizing (transcription) starts automatically.
From the meeting controls tab, choose
More → Record and transcribe → Start transcription .
All participants are notified that the meeting is being summarized.
Participants can choose to hide their identities in meeting credits and transcripts.
Swear words are replaced by asterisks.- Choose the language in which the meeting will take place and press the Confirm button.
- After a few moments, you will receive a notification that the summary has been started.
Changing language
When setting up a summary, the language of the transcription must match the language spoken in the meeting.
If you change the spoken language setting, the transcription and caption language will change for all users.
- From the meeting controls tab, choose
- Click the Transcription settings button → move your cursor to the language and select a new language from the drop-down menu.
- To confirm, click Update.
The transcript is now displayed in that language.
Transcription for recorded meetings is currently only supported for:
- Estonian (ET), English (US), English (Canada), English (India), English (UK), English (Australia), English (New Zealand), Arabic (United Arab Emirates), Arabic (Saudi Arabia), Chinese (Simplified, China), Chinese (Traditional, Hong Kong SAR), Chinese (Traditional, Taiwan), Czech (Czechia), Danish (Denmark), Dutch (Belgium), Dutch (Netherlands), French (Canada), French (France), Finnish (Finland), German (Germany), Greek (Greece), Hebrew (Israel), Hindi (India), Hungarian (Hungary), Italian (Italy), Japanese (Japan), Korean (Korea), Norwegian (Norway), Polish (Poland), Portuguese (Brazil), Portuguese (Portugal), Romanian (Romania), Russian (Russia), Slovak (Slovakia), Spanish (Mexico), Spanish (Spain), Swedish (Sweden), Thai (Thailand), Turkish (Türkiye), Ukrainian (Ukraine), Vietnamese (Vietnam), Welsh(United Kingdom).
Managing the created summary
Once the meeting is over, the transcript is immediately available in the meeting event in the calendar. By default, meeting organizers and co-hosts can download it as a .docx or VTT file.
To manage the summary, select the desired meeting and press the Show Summary button in the Chat tab.
The Summary window that opens shows:
AI notes and metions are only available for Teams Premium license users.
- AI notes: Meeting summary created by AI
Mentions: An overview of who has been mentioned in the meeting
Transcript: full speech of each meeting participant
